Connect an Outlook or Microsoft 365 calendar
Publish your Outlook calendar's busy times and add them to your Zella calendar, so participants can't book you when you're busy. About 5 minutes.
Outlook can't share busy times with a Google address directly, so it works through a link: you publish your Outlook calendar showing only when you're busy, then add that link to your Zella calendar. This works for work or school Microsoft 365 accounts and personal Outlook.com accounts. You need a computer and about 5 minutes.
Part 1: publish your calendar (in Outlook on the web)
- On a computer, open outlook.office.com/calendar (work or school) or outlook.live.com/calendar (personal) and sign in.
- Click Settings (the gear at the top right), then Calendar, then Shared calendars.
- Under Publish a calendar, choose your calendar, choose Can view when I'm busy, then click Publish.
- Two links appear. Click the ICS link and choose Copy link.
Note
"Can view when I'm busy" shares only the times you're busy, never event titles or details. Anyone with the link can see those busy times, so keep it to yourself.
Warning
Don't see Publish a calendar? Your organization may have turned it off. Ask your IT team, or use the option at the end of this guide.
Part 2: add the link to your Zella calendar
- Go to calendar.google.com signed in as your Zella address.
- On the left, next to Other calendars, click the plus sign, then From URL.
- Paste the ICS link and click Add calendar. It appears under Other calendars.
Part 3: check it in Zella Life
- Go to the Calendar step in Zella Life (or Availability, if your setup is done). Your Outlook calendar now appears under Calendars Zella can see. If it isn't there yet, refresh the page.
- During setup, click Confirm calendar.
Note
Google updates linked calendars on its own schedule, so a new Outlook event can take up to a day to block your Zella time. Participants book at least 24 hours ahead, so this rarely matters. For anything last minute, also add a busy event to your Zella calendar.
Part 4: see your Zella sessions in Outlook (recommended)
Add your Zella Google account to the Outlook app on your phone or computer, so your sessions show next to your own events. Session details stay inside your Zella account. Don't copy or forward them into your Outlook calendar.
Can't publish, or rather not?
Continue the Calendar step without a personal calendar. Then set the exact hours you're free for Zella in Availability, add time off for days you're away, and add a busy event to your Zella calendar whenever something comes up during those hours.
To stop sharing at any time, go back to Publish a calendar in Outlook and click Unpublish. The link stops working, and Zella no longer sees when you're busy.
Microsoft's and Google's own steps: Share your calendar in Outlook on the web and Use a link to add a public calendar.
